About this policy

Movement Milestones EP ("we", "us", "our") provides mobile paediatric exercise physiology and aquatic therapy across Brisbane. We respect the privacy of every child, young person and family we work with, and we take the care of your personal and health information seriously.

This policy explains what information we collect, why we collect it, how we keep it safe and how you can access it. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. We follow the NDIS Practice Standards and the NDIS Code of Conduct.

Where a client is a child, we deal with their parent or guardian on their behalf. As children grow, we involve them in decisions about their own information in a way that suits their age and understanding.

What information we collect

We only collect information that helps us provide safe, effective and goal directed care. This may include the following.

Contact information such as parent or guardian names, phone numbers, email addresses and home or school addresses for mobile sessions.

Information about your child such as their name, age, date of birth, school or kindy and the area of Brisbane you live in.

Health information such as diagnoses, medical history, medications, developmental information, therapy goals, reports from other health professionals, session notes and progress records.

Funding information such as NDIS participant numbers, plan management type, plan manager details and invoicing details.

Photos and videos taken during sessions, only with your written consent (see below).

Website information such as the details you enter into our enquiry and Aqua Adventurers interest forms, along with general website usage data collected through cookies.

How we collect your information

Most of the information we collect comes directly from you, through our website forms, phone calls, emails, our intake form and during sessions.

With your consent, we may also receive information from other people involved in your child's care, such as occupational therapists, speech pathologists, physiotherapists, paediatricians, support coordinators, plan managers and school staff.

You are welcome to make a general enquiry without giving your full name. To provide therapy services, though, we do need to know who we are working with.

Why we collect and use your information

We use your information to

  • respond to your enquiry and understand whether we are the right fit for your child

  • plan, deliver and review sessions built around your child's goals

  • write NDIS progress reports, functional capacity assessments and other reports you request

  • work alongside your child's wider care team so everyone is working toward the same goals

  • manage bookings, travel scheduling, invoicing and payments

  • send you information about Aqua Adventurers or other updates, where you have asked to receive them

  • meet our legal, professional and insurance obligations

We will not use your information for any other purpose without your consent, unless the law requires or allows it.

Photos and videos

Photos and videos can be a helpful way to track progress and share strategies with families. We only take them with your written consent, and they are stored securely as part of your child's clinical record.

We will never use photos or videos of your child on our website, social media or any promotional material without your separate, specific written consent. You can withdraw your consent at any time by letting us know.

Who we share your information with

We only share your information when it is needed to support your child's care or run our practice, and we share only what is necessary. This may include

  • other health professionals and support people involved in your child's care, with your consent

  • the NDIA, plan managers and support coordinators, for NDIS funded services

  • school or kindy staff, with your consent, when sessions or goals involve that setting

  • trusted service providers who help us run the practice, such as our practice management software (Splose), our website platform (Squarespace), our email platform (ActiveCampaign), payment providers and our accountant

We may also share information without consent where the law requires or allows it. This includes mandatory reporting obligations, a court order, or where there is a serious threat to someone's life, health or safety.

We never sell or rent your personal information.

Storing information overseas

Some of the service providers we use may store data on servers outside Australia, including in the United States. Where this happens, we take reasonable steps to make sure those providers protect your information in line with Australian privacy standards. Clinical records are stored in our practice management software, and we choose providers with strong security and privacy protections.

How we keep your information safe

We store records electronically using secure, password protected systems with restricted access. Paper notes are kept to a minimum and are stored securely or digitised and destroyed.

We keep health records for at least seven years after our last contact with you. For children, we keep records until they turn 25, or longer if the law requires it. After that, records are securely destroyed or deidentified.

If a data breach occurs that is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner in line with the Notifiable Data Breaches scheme.

Accessing and correcting your information

You can ask to see the information we keep about you or your child at any time. You can also ask us to correct anything that is inaccurate, out of date or incomplete.

Please email your request to hello@movementmilestonesep.com.au. We will respond within 30 days. In rare cases the law allows us to decline access, and if that happens we will explain why in writing.

Emails and updates

If you sign up for updates or register your interest in Aqua Adventurers, we will send you emails related to what you signed up for. Every email includes an unsubscribe link, and you can opt out at any time.

Our website uses cookies and analytics tools provided by Squarespace to understand how visitors use the site and to improve it. This information is general and does not identify you personally. You can adjust your browser settings to refuse cookies.

Our website may link to other websites, such as Instagram. We are not responsible for the privacy practices of those websites.
